The cheapest or largest venue is not automatically the right venue.
Location can affect attendance. Room layouts influence interaction. Poor delegate flow creates queues. Inadequate AV can undermine the content. Accessibility can determine whether some people can participate at all.

Depending on the audience, organisers may need step-free access, accessible facilities, public transport, quiet spaces, guide-dog friendly rooms or medication storage. International events may also introduce cultural or religious requirements.
Sustainability should be practical too. Consider transport access, venue and hotel proximity, recognised environmental standards, waste, energy, catering and the amount of ground transport created by the event.

Real-life example: controlling cost without weakening the event
For a national residential conference for more than 250 delegates, arrangeMY needed to balance a compressed timeline, budget control, accessibility and overnight accommodation.
The solution used multi-purpose space to reduce extra room hire, overflow accommodation to control bedroom costs, inclusive AV and catering, and reduced attrition terms to limit financial exposure. Alternative delegate-rate structures were also explored.
