The Aim

The client sought an event and travel management provider capable of sourcing and supporting its annual conference, which gathers 1,500 global delegates.

arrangeMY was tasked with identifying the ideal city, venue, and accommodation through an intricate venue-finding process. One key objective was relocating the conference from Liverpool to a fresh destination. The brief required a one-day build, a three-day event, and a half-day derig.

The Delivery

arrangeMY conducted thorough infrastructure and venue research, alongside cost negotiations across various UK cities.

A comprehensive proposal was presented, comparing over 12 potential options, which were then narrowed down to three shortlisted locations: Belfast, Edinburgh, and Glasgow.

Each city met the client’s requirements for a suitable venue, efficient transport links (air, rail, and road), and appropriate hotel accommodation. arrangeMY also sought subvention support from the Convention Bureaus in the shortlisted cities, securing additional sponsorship.

With arrangeMY’s assistance, the client visited the shortlisted cities, and ultimately chose Glasgow for a two-year contract, thanks to its strong offering and financial support from the city’s subvention scheme.
